Concordia University invites applications for the full-time, non-exempt position of Administrative Assistant Office of Advancement. The Administrative Assistant provides administrative and organizational support to the Office of Advancement in general and the Vice President of Advancement specifically. This position reports to the Vice President of Advancement and the Director of Advancement Services. The individual must be able to perform in a professional manner, organize workflows, follow directions, take initiative and manage support functions for timely attainment of objectives and outcomes. This position is on the Mequon, Wisconsin campus.


  • Serves as the primary administrative support for the Vice President of Advancement
  • Schedules meetings and appointments with Board members, major donors and prospects, as well as team members and institutional leaders as directed
  • In coordination with the Director of Advancement Services, provides administrative support including event coordination both locally and nationally, logistics, correspondence, proposals, transcribing contact reports, travel arrangements and other scheduling
  • Communicates to student recipients of scholarships to facilitate thanking and donor appreciation
  • Greets and assists constituents, students, faculty, staff and other visitors
  • Performs other duties as assigned

Knowledge and Abilities

  • Excellent oral and written communication skills with a high level of accuracy in grammar, spelling, and proofreading
  • Demonstrated ability to work effectively, collaboratively, and professionally, especially with the Office of the President
  • Ability to maintain a high level of confidentiality
  • Flexibility and the ability to deal with interruptions and work in a fast-paced office environment while prioritizing multiple tasks
  • Knowledge and skill in office practices; use of computer systems, MS Office applications, and integrated database systems; and interpersonal skills using tact, patience, and courtesy
  • Ability to work some evenings and weekends for special events

Education and Experience

Minimum five years of experience in increasingly responsible office administrative support experience. Bachelor's degree preferred. Possess an appreciation for the mission and purpose of Concordia as a university of the Lutheran Church-Missouri Synod.

Compensation and Benefits

This is a full-time, non-exempt position. Starting range is dependent upon individual qualifications and experience. Concordia health, disability and retirement plan enrollment is available to full-time employees and their eligible dependents.  Tuition benefits are also available for employees and their qualified dependents.
