Concordia University invites applicants for a full time Executive Administrative Assistant - Office of the President position and is located on the Ann Arbor, MI campus. This is a full-time, 12-month, exempt position that provides administrative, clerical and organizational support to the Vice President of Administration and Campus Executive at the Ann Arbor Campus in support of the Office of the President. The individual must be able to perform in a highly professional manner, organize personal workflow, follow directions, take initiative and manage support functions for timely attainment of objectives and outcomes.


  • Greets constituents, students, faculty, staff and other visitors to the Office of the President
  • Provides clerical support for the Vice President of Administration and for the President, including but not limited to: correspondence, calendars, expense reports, proposals, presentations, contact reports, and travel arrangements
  • Prepares for the quarterly meetings of the Michigan Committee of Overseers, including all physical arrangements, materials, presentations and recording of minutes
  • Assists in coordinating various campus events and programs on behalf of the President's Office
  • Coordinates with stakeholders on and off campus for timely communication, reporting, contracts, and mail distribution
  • Maintains all operational and confidential files and historical archive files relative to the Office of the President and the Board of Overseers
  • Coordinates work flow and scheduling of other support staff and student workers in the Office of the President
  • Manages and assists in establishing budgets for the President's office
  • Serve as a resource for the Vice President of Administration and the President

Knowledge and Abilities

  • Ability to demonstrate a high degree of initiative and skill
  • Excellent oral and written communication skills
  • Demonstrated ability to work effectively and professionally with individuals and groups
  • Proven ability to handle sensitive and/or complex situations with confidentiality and discretion
  • Ability to prioritize and manage multiple tasks in a fast-paced office environment
  • Ability to respond to a wide range of internal and external inquiries with discretion and diplomacy
  • Knowledge and skill in office practices, use of computer systems and MS Office applications and integrated database systems
  • Proficiency with telephone and video conferencing platforms (e.g. Polycom, Zoom)
  • Familiarity with event management software such as EMS is helpful
  • Ability to support the University's goals and values of a Lutheran higher education
  • Ability to work some evenings and weekends for special events and occasional overnight travel

Education and Experience

High School Diploma/GED plus five years of experience in increasingly responsible administrative experience; Bachelor's degree is preferred.

Compensation and Benefits

This is a full-time, exempt position. Starting range is dependent upon individual qualifications and experience.  Concordia health, disability, and retirement plan enrollment is available to full-time employees and their eligible dependents.  Tuition benefits are also available for employees and their qualified dependents.
