Concordia University seeks applicants for the part-time position of Fieldwork Administrative Assistant in the Occupational Therapy department at the CUAA Ann Arbor, MI campus. This position reports to the CUAA Occupational Therapy Academic Fieldwork Coordinator.

Job Duties and Responsibilities

The Fieldwork Administrative Assistant is responsible for assisting the Academic Fieldwork Coordinator in managing the fieldwork program, including but not limited to the following:

  • Preparing and maintaining memorandums of understanding with clinical sites
  • Managing and updating information in fieldwork data management system as needed
  • Ensuring that all student clinical requirements are current and accurate
  • Distributing continuing education certificates to fieldwork educators upon completion of fieldwork placements
  • Corresponding with clinical sites prior to fieldwork placements with necessary student information and clinical requirements
  • Interacting with various offices within the university, such as Risk Management and the Academic Office for approval of memorandums of understanding and necessary signatures
  • May perform other related duties as assigned by Academic Fieldwork Coordinator

Knowledge, skills, abilities

  • Ability to operate office technology and personal computer with related applications efficiently
  • Working knowledge of Microsoft Office, E-Mail, database, and Blackboard functions
  • Ability to effectively communicate with all levels of the University
  • Maintain a positive, can-do, service oriented attitude with program director, all faculty and students
  • Excellent communication skills written and oral
  • Ability to work independently, prioritize tasks and organize work in a busy office setting
  • Ability to demonstrate ingenuity and prompt action in resolving problems
  • Ability to be well organized, detail oriented and accurate and able to prioritize work
  • Ability to read, comprehend and follow written and verbal instructions
  • Knowledge of office processes
  • Ability to maintain strict confidentially
  • Maintain conscientious work ethic to include punctuality, professional dress and demeanor

Education and Experience

  • A high school diploma or GED required
  • Three to five years of general office experience that includes an advanced level use of Microsoft Office especially Excel, Word and Outlook
  • Previous experience working in an academic or rehabilitation clinic setting is a plus

Compensation and Benefits

This is a part-time (20 hour/week), staff, non-exempt (hourly) position. Salary will be commensurate with qualifications, education, and experience. No additional benefits are associated with this position.
