Applications are being accepted for the part-time position of Administrative Assistant- Pharmaceutical Sciences in the School of Pharmacy. The School of Pharmacy Administrative Assistant will provide clerical and technical support to the pharmaceutical science department faculty. This position will report to the Department Chair of Pharmaceutical Sciences. This is a 12-month, non-exempt, part-time (19.5 hours per week or less) position that is located on the Mequon, Wisconsin Campus, although some responsibilities require interactions with and occasional meetings at the CUW/SOP Master's in Product Development program at the Innovation Campus in Wauwatosa.


  • Manage electronic database of department grants and expenditures, keeping reliable accounts of the funding.
  • Interact with the department personnel in schedule maintenance, clerical duties, and interactions with other units within the university
  • Order laboratory materials and supplies through internet and/or paper-based transactions
  • Triage calls, emails and other communications directed to the department personnel and facilitate a resolution to the request, when appropriate
  • Assist in directing students to professors, including scheduling
  • Provide assistance to departmental guests and visitors
  • Other related duties as assigned

Knowledge, Skill, and Abilities

  • Ability to work in a team-focused environment
  • Proficient in the use of basic computer programs -Microsoft Word/Excel, email, general internet skills.  Familiarity with web-based databases preferred.
  • Ability to work independently, prioritize tasks, organize work and meet deadlines
  • Excellent oral and written communication skills 

Education and Experience

A high school diploma or GED is required; previous work experience is preferred.  Three to five years of general office experience preferred. Ability to work with financial computer files and spreadsheets is greatly preferred.

Compensation and Benefits

This is a part-time, staff, non-exempt position. Salary will be commensurate with qualifications, education, and experience. Tuition benefits are available for employees; however, there are no other benefits associated with this position.
